Job Title: Assistant Event Coordinator
Location: New York, NY
Department: Events Team
Reports To: Event Coordinator

Job Summary:
We are seeking a motivated and detail-oriented Assistant Event Coordinator to join our dynamic events team. This position involves supporting the planning, organization, and execution of events, ensuring smooth operations from start to finish. The ideal candidate will have strong communication skills, be able to work in a fast-paced environment, and have a passion for event planning and management.

Key Responsibilities:

  • Liaise with vendors, venues, and suppliers to ensure event requirements are met.
  • Assist with event marketing, including social media promotions and email communications.
  • Support the setup and breakdown of events, ensuring all equipment and materials are in place.
  • Provide on-site assistance during events, ensuring smooth execution and addressing any issues that may arise.
  • Handle administrative tasks, including maintaining event files, preparing reports, and managing budgets.
  • Track and manage event-related inventory, including decor, signage, and materials.
  • Communicate regularly with the Event Coordinator and Event Manager to ensure expectations and deadlines are met.
  • Assist in post-event follow-up, including collecting feedback and creating event evaluations.

Qualifications

  • High school diploma or equivalent required; degree in event management, hospitality, or a related field preferred.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work under pressure and meet deadlines.
  • Proficiency in Microsoft Office and event management software (e.g., Asana, Eventbrite) is a plus.
  • Availability to work evenings, weekends, and occasional travel may be required.
  • A positive, team-oriented attitude with the ability to work independently when needed.
