Job Description

Summary of Position

The Senior Systems and Stewardship Specialist plays a vital role in advancing Augsburg University’s mission by ensuring meaningful engagement with donors and managing the integrity of Advancement data systems. This position is responsible for donor stewardship efforts—including the mailing list for personalized thank-you letters, scholarship and endowment reporting, donor recognition, and campus signage—and for managing the university’s Advancement database (Raiser’s Edge). The position ensures the accuracy, security, and strategic use of constituent data to support fundraising, alumni engagement, and comprehensive reporting.

Primary Responsibilities

Stewardship

  • Coordinate with the division and the Office of the President to send personalized weekly letters of appreciation.
  • Lead and manage all aspects of the annual reports for donors created funds, including individual endowment reports, scholarship reports, and other stewardship publications.
  • Collects data and personal statements from Scholarship Recipients.
  • Manage all benefactor recognition, including capital project recognition, signage on campus, distribution of gifts of appreciation, distribution of tokens of appreciation for benefactors, coordinating with gift officers and the division to track progress and inventory.
  • Collaborate with department leadership to incorporate stewardship into comprehensive planning for the division.

Database Management and Integrity

  • Maintain and optimize the accuracy, efficiency, and security of the Advancement database (Raiser’s Edge).
  • Ensure data integrity through regular audits, cleanup, and validation processes.
  • Develop and enforce data entry standards and procedures for Advancement staff.
  • Produce routine daily, monthly, and special data reconciliation with other systems on campus.
  • Manage database system modifications in response to departmental needs and day-to-day system integrity, including recommending strategies to ensure data integrity.
  • Design and maintain a portfolio of regular periodic reports incorporating information from Raiser's Edge system. 

Data Reporting and Analysis

  • Design and generate queries, reports, lists (mail, email, texting, etc.), supply data, and exports to support campus partners, fundraising, donor stewardship, alumni engagement, and campaign tracking. 
  • Collaborate with gift officers and leadership to create custom lists and queries for strategy and decision-making.

User Support and Training

  • Support colleagues and campus partners in accessing data in our database, and provide training where appropriate.
  • Maintain written documentation and support to ensure data continuity and a reference so we know what data is tracked, where that data comes from and when it gets updated in our database. 

Alumni and Donor Records

  • Support gift processor with identifying donors in the database and adding new donors.
  • Oversee constituent records management, including merging duplicates, updating contact information, and managing constituent codes and relationships.

Project Management and Collaboration

  • Manage accurate and timely data exchange to and from Raiser's Edge and other university information systems.
  • Participate in cross-functional projects related to data migration, new system implementation, or data integrations (e.g., email platforms, financial systems, online giving portals).
  • Collaborate with campus partners, such as IT and Finance, to ensure data consistency and integration across university systems.

Compliance and Confidentiality

  • Ensure compliance with FERPA, IRS regulations, CASE standards, and institutional data governance policies.
  • Maintain strict confidentiality of donor and alumni information.

Additional Responsibilities

  • Develop and maintain procedures for the effective delivery of data services in Institutional Advancement department.
  • Establish and maintain effective working relationships.
  • Ability to successfully prioritize and manage complexity while working on multiple projects with differing timelines.
  • Other duties as apparent or assigned by supervisor(s).

Work Environment and Physical Demands

  • Typical work environment is an office. 
  • Regular computer and phone use. 
  • Occasional work during evenings or weekends for events.
  • Required to work two (2) days per week in the office with the option to work the remaining three (3) days remotely.

Qualifications

Minimum Qualifications

  • Bachelor’s degree. 
  • Five (5) years of directly related professional experience in an advancement or development services office. 
  • Advanced knowledge of and demonstrated experience using Raiser’s Edge software.

Preferred Qualifications

  • Professional experience in a higher education setting.

  • Collaborative work style with the ability to work independently or with little supervision.

  • Committed to maintaining strict confidentiality.
  • Ability to work efficiently in person and in a virtual environment with off-site colleagues.
  • Knowledge of Import-o-Matic.
  • Strong experience in Microsoft Office Suite: Word, Excel, and PowerPoint.
  • Proficient in Google Suite: Mail, Calendar, Drive, and Docs is a plus.
  • Collaborative style with ability to also work independently or with little supervision.
  • High sense of confidentiality.

Additional Information

Compensation & Benefits at Augsburg

  • The compensation range is $53,000 - $65,000 per year, DOQ.
