Overview:
We are seeking a detail-oriented and experienced Payroll Virtual Assistant to manage payroll processes for our home care business. The ideal candidate will be well-versed in payroll systems, time tracking, and compliance requirements, with excellent organizational skills and a commitment to accuracy. Key Responsibilities:
- Payroll Processing:
- Process payroll accurately and on time for caregivers and administrative staff.
- Calculate regular wages, overtime, bonuses, and deductions (e.g., taxes, benefits).
- Timekeeping Management:
- Review and validate employee timecards or timesheets.
- Monitor clock-in/clock-out records to ensure accurate reporting of hours worked.
- Compliance and Reporting:
- Ensure compliance with federal, state, and local labor laws and payroll regulations.
- Prepare payroll reports and maintain accurate payroll records for audits and management reviews.
- Employee Support:
- Address payroll-related inquiries from employees professionally and promptly.
- Assist with onboarding new employees, ensuring proper setup in payroll systems.
- System Management:
- Maintain and update employee records in payroll and HR systems.
- Recommend and implement process improvements to enhance payroll efficiency.
- Administrative Duties:
- Coordinate with the HR department to verify employee information and changes.
- Assist with tax filings, benefits administration, and end-of-year reporting (e.g., W-2, 1099).
Qualifications:
- Experience: Minimum of 2 years in payroll processing, preferably in the home care or healthcare industry.
- Technical Skills:
- Proficiency in payroll software such as ADP, QuickBooks, Paychex, or similar systems.
- Knowledge of time tracking tools and HRIS platforms.
- Knowledge: Familiarity with wage laws, tax regulations, and labor standards.
- Skills:
- Strong attention to detail and accuracy in data entry.
- Excellent organizational and multitasking abilities.
- Effective communication skills, both verbal and written.
Preferred Skills:
- Experience in handling payroll for caregivers and understanding home care-specific pay structures (e.g., split shifts, mileage reimbursement).
- Familiarity with HIPAA and confidentiality requirements.
- Advanced skills in Excel or Google Sheets for data analysis and reporting.
