Schedule: Monday to Friday, 10am-6pm Argentina || 8am-4pm New Jersey time.

At Graphic Makers & Printers, we specialize in high-quality printing services and custom designs for businesses across various industries.

We are looking for a highly organized and detail-oriented Administrative Assistant to join our team and support our design operations. This role is key in ensuring smooth communication between our Customer Service, Design, and Production teams. The ideal candidate will have excellent English and Spanish language skills, a strong eye for detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

  1. Work Order Translation & Preparation
    • Translate work orders from English to Spanish for new projects or corrections.
    • Compile clear and concise Word documents for designers to follow.
  2. Typesetting Management
    • Review and apply requested changes to typesettings before the design phase.
    • Verify accuracy and ensure error-free text in both new and revised typesettings.
  3. Proofreading & Quality Assurance
    • Conduct detailed proofreading of final designs to ensure accuracy, correct grammar, and alignment with client requests.
    • Check printed materials (requires access to a printer) to identify and correct typos, alignment issues, and other errors.
    • Collaborate with team members to review designs for consistency, color palettes, and aesthetic alignment with client requests.
  4. Communication with Designers
    • Organize and send work instructions to designers via email.
    • Assign tasks based on designer capabilities and workload to ensure an efficient workflow.
    • Follow up to ensure designers always have tasks and meet deadlines.
  5. Process Management
    • Maintain organized records in Excel and Word for all ongoing and completed projects.
    • Upload approved files to the server and ensure proper archiving of completed work.
    • Coordinate with print shops and other external vendors as needed.
  6. Client Communication
    • Send design templates and proofs to clients for approval.
    • Address client requests and follow up as necessary.
  • Advanced proficiency in both English and Spanish.
  • Strong organizational skills with the ability to multitask and manage multiple projects simultaneously.
  • Excellent attention to detail and a passion for delivering high-quality work.
  • Proficiency in Microsoft Word and Excel; familiarity with Dropbox and web-based tools is a plus.
  • Access to a printer for proofreading purposes.
  • Experience in proofreading, quality control, or project coordination is a plus.
    • Training provided in customer service to ensure you succeed in the role.
