Volunteer Assistant

Hello Neighbor is seeking a Volunteer Assistant who will support the efforts of the Employment Team as they welcome Pittsburgh’s newest neighbors. 


The Volunteer Assistant will support our volunteer-related tasks across various programs and specifically oversee volunteer tasks related to the Hello Neighbor employment program. This position is integral to ensuring that all volunteer tracking and documentation comply with MG requirements, supporting our mission of welcoming and empowering recently resettled refugees.


Founded in 2017, Hello Neighbor works to improve the lives of recently resettled refugee families by matching them with dedicated neighbors to guide and support them in their new home. We’ve expanded from our mentorship program to now include refugee resettlement services, family service programs, a national program supporting other refugee and immigrant nonprofits around the country. 


This is an in-house part-time (20 hours), limited position at our Pittsburgh, PA office in Larimer. We are currently on a hybrid work schedule of 9am-5pm Monday through Friday; in the office on Tuesdays, Wednesdays, and Thursdays and work-from-home on Mondays and Fridays. We require COVID-19 vaccination for full-time employees. The successful candidate must be currently authorized to work in the United States.


Reports To: Director of Development 


Key Responsibilities
  • Coordinates and tracks employment volunteer activities, ensuring all engagement is documented accurately and in alignment with grant requirements.
  • Manages volunteer onboarding, including training, scheduling, and compliance checks, particularly for MG-funded  initiatives.
  • Assists with recruitment efforts to identify and engage volunteers with skills aligned to MG program needs.
  • Monitors and updates volunteer records in Hello Neighbor’s management systems, ensuring comprehensive reporting metrics are maintained for Match Grant compliance.
  • Provides logistical and administrative support for volunteer events and activities, enhancing volunteer engagement and retention.
  • Participates in regular supervision meetings and relevant staff meetings.
  • Adheres to Hello Neighbor’s confidentiality guidelines and ensures the appropriate handling of sensitive information.
  • Other duties as assigned within the scope of position expectations.


Preferred Qualifications:
  • Prior experience with volunteer coordination or management, ideally in a nonprofit or community organization setting.
  • Demonstrated strong interpersonal skills with a compassionate, professional approach in diverse communities.
  • Familiarity with grant management or tracking processes is a plus.
  • Ability to prioritize tasks, meet deadlines, and work independently in a dynamic environment.
  • Flexibility to occasionally work nights or weekends as necessary.
  • Alignment with and support of Hello Neighbor’s core values.

  • Motivated, detail-oriented, and proactive in managing multiple tasks.
  • Strong organizational and communication skills, with a collaborative approach to problem-solving.
  • A passion for community building and refugee and immigrant rights is highly valued.


Additional Details:
  • This is a part-time, limited term in-house position at our Pittsburgh office in the Larimer neighborhood
  • Clearances required: Pennsylvania Child Abuse History Clearance, Pennsylvania State Police Criminal History Clearance, Federal Bureau of Investigations (FBI) Criminal History Clearance (PA Act 23 & Act 24); Mandatory Reporter and/or PSEA training may also be required depending on job requirements
  • We require COVID-19 vaccination for full-time employees
  • Valid driver’s license preferred and proof of insurance are preferred

  • Anticipated start date: March 2025
  • The successful candidate must be currently authorized to work in the United States.
  • Hourly rate: $18.27, part-time, limited-term, non-exempt
