We are looking for a detail-oriented and proactive Office/Administration Coordinator to support our operational, administrative, HR, financial, and office management functions. This role ensures smooth daily operations, efficient coordination of meetings and events, and compliance with HR and financial procedures.
You Will:
Operational and Administrative Support
- Prepare agendas, track progress, and follow up on action points for internal meetings.
- Provide logistical and administrative support for ABSL meetings, including venue selection, invitations, and material coordination.
- Assist in organizing internal and external events, ensuring seamless execution.
- Maintain accurate documentation and records related to operational and administrative processes.
HR and Compliance Support
- Ensure HR-related documentation (contracts, annexes, cooperation terms) is updated and maintained in collaboration with external HR service providers.
- Support compliance-related administrative processes as required.
Budget and Financial Administration
- Assist in budget tracking and execution in coordination with the Finance team.
- Support the invoice approval process, ensuring accuracy and compliance.
- Maintain an organized system for expense tracking and reporting.
Office and IT Coordination
- Oversee office administration, ensuring a well-organized and efficient workplace.
- Manage office supplies, vendor coordination, and administrative workflows.
- Act as a liaison for IT-related coordination, including managing user access to internal systems (e.g., Microsoft 365).
- Support basic IT infrastructure coordination in collaboration with external vendors or the IT team.
- Experience in office administration, operations, or a similar role.
- Strong organizational and multitasking skills.
- Attention to detail and ability to maintain accurate records.
- Proficiency in Microsoft 365 and other office management tools.
- Ability to collaborate effectively with internal teams and external service providers.
- Strong problem-solving and communication skills.
