Job Role : Virtual Assistant

Work Schedule : Full-Time Equivalent

Salary range : $1,500 - $2,500 AUD/month

Who The Client Is
A Sydney-based, family-run logistics company known for personalised service and reliable, end-to-end solutions. Specialising in container haulage, storage, rail freight, and oversized cargo, they serve diverse industries with precision and care, streamlining supply chains for efficient, cost-effective operations.

Role Overview
We are seeking a reliable and detail-oriented Virtual Assistant with a minimum of 2 years of experience in administrative and financial support. This role is critical to ensuring smooth day-to-day operations, effective fleet management, and seamless financial processes. The ideal candidate will have a proactive mindset, excellent communication skills, and a knack for multitasking.

Key Responsibilities

  • Ensure all fleet registrations are paid on time, providing guidance to the MD on when repairs and routine maintenance are required for the fleet (e.g., monitoring engine hours and kilometers, and monitoring pre-trip notifications of issues).
  • Develop and implement processes, procedures, and policies to streamline operations and tasks.
  • Develop and provide weekly reports on specific data as requested by the MD and BM.
  • Manage multiple inboxes.
  • Provide customer service.
  • Prepare and manage quotes, ensuring they are updated in the freight management system.
  • Manage the fleet management system. Oversee depot stocktake and update the freight management system.
  • Investigate and action fleet fine notices in a timely manner.
  • Create and process invoices and credits through Freight Tracker, Xero, and Dext.
  • Manage supplier invoices, issue purchase orders, and process invoices through Dext.
  • Conduct debtor collections.
  • Manage payroll and HR through Employment Hero, including onboarding all new employees.
  • Assist with HR and payroll tasks related to timesheet management, including reviewing discrepancies, verifying timesheets against GPS data, and liaising with drivers for clarification.
  • Process and manage the AP function, including reviewing invoices, issuing purchase orders, and reconciling statements using Dext and Xero. Reconcile AP remittances in Xero.
  • Prepare letters, presentations, and reports as required.
  • Draft communications for internal and external use, including letters, emails, social media posts, and Mailchimp campaigns.

Requirements

    • At least 2 years of experience in administrative and financial support.
    • Proficiency in tools like Xero, Dext, and Employment Hero.
    • Strong organisational skills and attention to detail.
    • Familiarity with Mailchimp
    • Experience in transport/logistics and fleet management 
    • Ability to manage multiple tasks and maintain confidentiality.
