Job Role: Virtual Assistant

Work Schedule: Monday - Friday

Salary range: 1,300 - 1,500 AUD/month

Setup: Full-time, Employment Contract Agreement (EOR setup)

Who We Are: At Hunt St we help Australian companies directly hire top 5% remote talent in the Philippines. You will be hired directly by the client, typically as an independent contractor. We are not an outsourcing agency. All of our roles are 100% remote so you'll be able to work from home.

Role Overview: You will play a vital role in ensuring that we achieve our strategic objectives at being a recognised leader across Australia in the provision of integrity risk services whilst delivering on our commitment to go above and beyond for our clients, our fellow talent members and other stakeholders that we interact with.

As a member of the team, we expect you to share a passion for the work we do and the goals we have set for ourselves. In this role, you will play an important role in helping the team to deliver upon its strategic objectives, in particular around our strategic pillar of ‘Growing our Influence’.

The primary purpose of this position is to serve as the Executive Assistant to the Chief Executive Officer and also perform the duties of the company's Marketing Coordinator. As the Executive Assistant, you will support the CEO in leading the company and executing the strategic plan. In the Marketing Coordinator role, you will assist in building the company's profile in the market. 

Reporting Lines:

  • This role will report to the Chief Executive Officer for both Marketing and EA responsibilities

Key Responsibilities:

Executive Assistant responsibilities:

  • Time and Diary Management: Proactively plan, manage and coordinate the diary and schedule of the Chief Executive Officer. This involves responding to meeting requests, being proactive in the management of regularly scheduled meetings (weekly team and leadership meetings) and managing the CEO’s diary to be effective. 
  • Company Schedule Management: As an extension of time and diary management, proactively manage key company and team meetings in line with our strategic and operational plan. This includes but is not limited to weekly Senior Management meetings, Monthly Management Meetings, Quarterly meetings and annual offsites. 
  • Business Writing: Develop plans, reports, and presentations based on dictated ideas and tasks.
  • Event Planning: Organize professional events such as dinners, roundtable lunches, and client or partner-inviting events.
  • Travel Management: Work with our Director of Shared Services to plan, book and manage travel for the CEO. 
  • Research: Conduct research on industry-relevant topics and draft briefing notes for education and marketing purposes.
  • People Management Support: Support the CEO in managing his direct reports via the scheduling and management of One to Ones (1:1s) and related OneNote action tracking.  
  • Client Contract and Support: Draft and review new contracts, agreements and proposals on behalf of the CEO and issue same at the direction of the CEO. 

Marketing responsibilities:

  • Marketing Plan: Assisting in the development and coordination of the Marketing Plan for the company.
  • Email Marketing: Assist in developing and managing our EDM, direct response and social media strategies.
  • SEO Strategy: Responsible for developing, delivering and ongoing refinement of our SEO strategy to drive organic and paid website traffic. 
  • Website Management: Manage the company’s website/s via WordPress – updating content, managing plug ins and driving optimization of the company’s website/s.
  • Social Media Management: Managing the written and visual content for the company's social media sites, website, landing pages, forms, email and other online content.
  • Lead and Campaigns: Developing and implementing sales and marketing funnels and campaigns to support ongoing lead generation across all service lines to support our Sales Strategy.
  • Marketing Effectiveness: Reporting and measuring engagement across our marketing channels in order to assess the effectiveness and impact of our direct response and social media strategy (key metrics and ROI including customer acquisition cost, organic reach, click through rate, open rates etc).
  • Content Management: Responsible for managing the delivery and pre/postproduction of marketing videos, podcast, webinars, and other initiatives as directed.
  • Review and Feedback: Working with internal team and stakeholders to review performance of our marketing campaigns, initiatives to drive continuous improvement and improved Return on Investment (ROI).  
  • Style Guide: Manage, and maintain our style guide, collateral, templates, and presentation material to support all functions and departments.

  • Higher School Certificate (or equivalent)
  • Demonstrated Industry specific qualifications, accreditations and/or memberships
  • Experience working in a marketing assistant role (or higher)
  • Zoho One: Must have experience using Zoho One (suite of Zoho Modules) including Campaigns, CRM, Analytics etc)
  • Design: Experience in marketing collateral design and using the latest tools (Canva, ChatGPT or similar)
  • WordPress: Competent in the use of WordPress to manage website
  • Google Products: Experience with Google AdWords and Google Analytics
  • Webinars: Must have experience in designing, implementing and managing webinars to support sales and marketing activities.

You are good at: These are the minimum requirements we expect from you in order to perform your role:

  • SME Knowledge – Ability to acquire and maintain deep subject matter expertise (SME) knowledge in the fields of marketing and social media marketing, email direct marketing (EDM), SEO to drive organic and paid search and marketing related activities.   
  • Leadership & Management – Be self-led and responsible for own outcomes. Demonstrate initiative to identify new initiatives and opportunities.  
  • Operational capabilities – Demonstrable experience in your field and a willing to learn to further your experience. Ability to set and deliver in priorities, remain flexible and balance both strategic and operational priorities.  
  • Continuous Improvement – Demonstrating an understanding of, and seeking out, continuous improvement initiatives to enhance your role and our operational capabilities.  
  • Communication skills – Ability to communicate with impact. High level of verbal and written communication skills.
  • Confidentiality and discretion – Ability to maintain confidences and show discretion given the highly sensitive nature of the work we do. 
  • Collaborative – Able to develop and foster collaborative relationships up/down and across the organisation, with our clients and our stakeholders.
