Executive Assistant

Company Description

30% Organize and coordinate events/meetings with Global business partners, keep overview of all relevant meetings, arrange logistics (bookings, catering, visitor registrations, materials) for all global travel utilizing all current guidelines, protocols, and technologies

30% Provide high level administrative support to multiple executives to include managing bookings for executive conference rooms, provide on-site support to office staff, assist with the onboarding of staff, provide back up support as needed

25% Perform more complex and confidential secretarial support, including capturing, distributing meeting minutes and following up on action items, draft communication announcements on behalf of KPMGI Nl People Leader, handle sensitive information for high level stakeholders as well as efficiently prepare time and expense reports, and reconcile credit card statements

10% Assist with various business operations tasks, including:

•              Approve service requests

•              Ad hoc analysis or data requests

•              Coordinate with team members and help support/back-up Executive Assistants on the team

•              Travel & Expense approver back up – when Office Lead is out of office

5% Act as a back-up for the KPMGI Amstelveen Office Lead

Job Description

The Executive Assistant will support the KPMGI Netherlands People Leader/Head of Technology Operations and three Netherlands-based executives in the GT&K group, as well as provide support to their respective teams. The Executive Assistant will report into and work as a team member of the Global Knowledge & Technology (GT&K) Business Operations Workforce Management team, alongside the Executive Assistants who support the GT&K leadership.  The role is responsible for supporting the executives in the overall strategy and achieving organization-wide and departmental goals, while living the KPMG values, and will also manage key business management processes.

Business Operations manages the financial, people, tech assurance and strategic aspects of GT&K. Operations Strategy & Workforce Management is essential to the efficient operational running of GT&K, responsible for designing, enabling, and evolving core business operational processes that span areas of HR, Cost/Recharge Transparency, Service Catalog & Optimization, and Resource Management, as well as other strategic and support initiatives in support of the firm’s digital agenda.

Qualifications

  • High degree of organization and ability to manage multiple, competing priorities simultaneously

Experience & Knowledge:

  • Minimum of seven years of executive level administrative support experience; preferably within a professional services firm
  • Bachelor’s degree from an accredited college/university or equivalent work experience
  • Basic understanding of financial operational processes
