Project Coordinator

Salary: $60,000 - 65,000/year

As a Project Coordinator, you will play a key role in supporting the project management team to deliver successful commercial AV integration projects on time and within budget. You will be responsible for coordinating resources, timelines, and communications, ensuring that all stakeholders are aligned and that projects progress smoothly from start to finish.


Responsibilities
  • Project Support: Assist project managers in planning, executing, and closing commercial AV integration projects, ensuring that all tasks are completed on time and according to client specifications.
  • Scheduling & Coordination: Coordinate schedules for project teams, clients, contractors, and vendors. Ensure that all stakeholders are aware of key milestones, deadlines, and changes.
  • Documentation: Maintain and organize project documentation, including contracts, change orders, RFIs, submittals, and project files. Ensure that all paperwork is completed accurately and stored appropriately.
  • Resource Management: Help manage resources, including materials, equipment, and personnel, ensuring that everything needed for project execution is available and on-site when required.
  • Client & Vendor Communication: Serve as a point of contact for clients and vendors throughout the project lifecycle. Assist in managing relationships and ensuring effective communication to address issues, requests, and concerns.
  • Budget Tracking: Assist in monitoring project budgets and expenses, tracking invoices and purchase orders, and helping ensure projects remain within financial constraints.
  • Site Coordination: Support the logistics of site visits, including arranging access, managing site safety protocols, and ensuring that site conditions are ready for AV installation.
  • Risk Management: Help identify potential risks to project timelines or budgets and support the project manager in mitigating those risks through proactive solutions.
  • Quality Control: Ensure that all project deliverables meet the quality standards established by the company and the client. Assist in performing inspections and resolving any quality issues.
  • Post-Project Wrap-Up: Assist with the final phases of the project, including final walkthroughs, ensuring project documentation is complete, and facilitating client sign-offs.


Requirements
  • Experience: At least 2-3 years of experience in project coordination, preferably within the commercial AV, construction, or technology integration industry.
  • Organization: Strong organizational skills and the ability to handle multiple tasks and deadlines simultaneously.
  • Communication: Excellent verbal and written communication skills, with the ability to interact effectively with clients, vendors, and internal teams.
  • Attention to Detail: High attention to detail, ensuring accuracy in documentation and project tracking.
  • Technical Knowledge: Familiarity with AV systems and integration processes is a plus, but not required. Willingness to learn technical aspects of AV systems and installation processes.
