WHO WE'RE LOOKING FOR 🌟
A well-organized HR process can make a real difference in people’s lives at work.
We’re looking for an HR Administrator based in the Netherlands who’s ready to take ownership of key HR operations with a focus on documentation and compliance. You’ll play a key role in creating a seamless employee experience across onboarding, relocation, contract updates, and payroll support.
From coordinating with external providers to staying up to date on Dutch labor and immigration laws, you’ll ensure that everything runs smoothly and professionally.

WHAT YOU'LL DO 🚀
- Prepare, manage, and update HR documentation for the Dutch entity:
- Employment contracts, onboarding documents, amendments, relocation and termination letters, IND applications, ruling applications, WGV, letters of intent, etc.
- Documentation for leaves of absence (e.g. vacation, sick leave, parental leave).
- Maintain and audit employee personal files in line with GDPR.
- Ensure compliance with Dutch labor legislation, internal policies, and governmental requirements (e.g. UWV, IND, Belastingdienst):
- Monitor legal updates and adjust internal workflows accordingly.
- Maintain records aligned with changes and company policies where applicable.
- Coordinate hiring and offboarding processes:
- Gather documentation, draft contracts and agreements, and ensure smooth administrative flow.
- Support visa sponsorship documentation (e.g. Highly Skilled Migrant permits, Blue Card) and communicate with IND.
- Support payroll preparation:
- Collect and verify input for monthly payroll: vacation days, sick leave, bonuses, expense reimbursements, etc.
- Ensure timely and accurate transfer of data to external providers.
- Oversee absence and time tracking administration:
- Ensure records of working hours, sick days (e.g. via Arbo/occupational health provider), and holidays are up to date and legally compliant.
- Act as a point of contact for employees in the Netherlands:
- Provide guidance on HR policies, employment documentation, governmental requirements
- Explain statutory rights (e.g. sick leave procedures, parental/maternity leave, 30% ruling, pension eligibility).
- Manage the employee lifecycle process:
- Support preboarding, onboarding, probation evaluation, internal changes, performance cycles, and offboarding.
- Collaborate with external service providers:
- Ensure all contracts, payroll instructions, and legal documents meet Dutch compliance standards.
- Work with immigration consultants, payroll providers, and pension brokers, etc.
TO SHINE IN THIS ROLE 💥
You’ll need:
- Bachelor’s degree in Human Resources, Law, or a related field.
- 3+ years of experience in HR operations or documentation in the Netherlands.
- Solid knowledge of Dutch labor legislation, IND processes, and statutory benefits.
- Experience working with external payroll providers and immigration processes.
- Proficiency in HR systems and tools (HRIS, Google Workspace, Notion, Excel/Sheets).
- Strong communication skills in English (written and verbal); fluency in Dutch is a strong plus.
- A proactive, reliable, and solution-oriented mindset.
