Administrative Customer Service Assistant

POSITION SUMMARY

This position will provide support to Delaware facility/Customer Service team for various facility related tasks in order to allow Customer Service to focus on core objectives. Will also serve as a back up to the Customer Service Assistant role for data entry.


WHAT YOU WILL DO:

·         Greet contractors and delivery personnel, facilitate directing to area of building for service/maintenance and follow through to completion of task/delivery, including signing paperwork, obtaining copies for records, and documenting/communicating any post-visit instructions provided. 

·         Work with the cleaning company to ensure all items within scope of work are being met

·         Administrative support function for office including:

o    Monitoring and distribution of incoming and outgoing mail

o    Order office & kitchen supplies.

o    Assist in document retention program tasks (boxing documents for storage, tracking destruction dates and coordinate pick up of destruction documents)

o    Assist with social events and fundraising tasks such as ordering lunch, buying materials for activities, running of events and set up/clean up for activities.

o    Assist with development of electronic filing structure and cleanup of file organization; monitor for accuracy.

o    Maintain safety related certifications and instructions within office are kept current and published for awareness (CPR certification, First Responders, evacuation paths, etc.)

o    Organizing and maintain office/building layout documentation.

·         IT support function for office

o    Point of contact for remote IT Teams to coordinate and collaborate ongoing troubleshooting activities for resolution

o    Assist in maintaining equipment inventory and organization of on hand items

·         Support Customer Service Assistant group when other tasks are completed by:Enter daily quotes into quote system including No Bid/No Quote information.

·         Enter daily quote award information / bid tabs into quote system.

·         Other duties as assigned.

 

WHAT YOU NEED TO BE SUCCESSFUL:

·         High School Diploma/GED.

·         Strong phone, verbal and written communication skills.

·         Strong organizational and time management skills.

·         Data entry proficiency.
