Accounting Assistant I - Hybrid - 02252025

The Accounting Assistant I role is responsible for functions related to Accounts Receivable (A/R) and Accounts Payable (A/P) transactions, supporting activities within the Accounting department.

Key responsibilities include performing daily, high-volume, and sometimes repetitive tasks, where accuracy and proficiency are essential. The role involves engaging with a diverse group of contacts, including internal personnel at all organizational levels. Strong independent judgment is required to plan, prioritize, and organize workload effectively.

Position Type and Expected Hours of Work

This is a full-time, hourly position with standard hours of Monday through Friday, 8:30 a.m. to 5:00 p.m. The role is hybrid, with three remote days per week (upon completion of 90-day probationary training period), depending on departmental needs.

Essential Functions

  • Enter customer payments into financial software accurately and promptly.
  • Perform data imports in financial software efficiently and accurately.
  • Manage case assignments for various accounting personnel.
  • Process payment request bills for all products and orders.
  • Assist Accounts Payable (A/P) with bill entry and credit card transaction clearing.
  • Support Accounts Receivable (A/R) reconciliation by processing order cancellations.
  • Open and sort incoming mail, then prepare check batches for payment application and bank deposits.
  • Prepare outgoing UPS packages for shipment, including various vendor payments.
  • Assist with special projects and provide support for team duties as requested by management.
  • High School Diploma or GED,
  • Basic to Proficient skill level in Microsoft Excel

Preferred Skills and Abilities

  • Proficiency with computers in both professional and personal settings (10-key).
  • Excel skills, including data entry, formulas, and basic functions.
  • Strong attention to detail and basic math skills.
  • Detail-oriented with the ability to manage tasks accurately.
  • Ability to work independently in a remote environment.
  • Effective communication skills, both written and verbal.
  • Comfortable working in a fast-paced, deadline-driven environment.
  • Experience using common business applications, such as Microsoft Outlook and Teams.
  • Eagerness to learn and grow as part of the Accounting & Finance Team
  • Experience working with NetSuite
  • Experience working in an accounting role
