Our client is a general contractor based in California, specializing in construction projects. They are seeking a highly organized and proactive Executive Assistant to support their President and ensure smooth operations across the organization. The ideal candidate will have strong organizational skills, excellent communication abilities, and a background in construction (preferred but not required).
About the Role:
As the Executive Assistant, you will play a critical role in managing the President’s workflow, coordinating with internal teams, and ensuring efficient processes. Your responsibilities will include email management, leads follow-up, task management in Trello, meeting coordination, and more. This is a remote position, but you must be available to support California business hours.

Key Responsibilities:
- Email Management: Organize and prioritize the President’s inbox, ensuring timely responses and follow-ups.
- Leads Follow-Up: Track and follow up on leads, ensuring no opportunities are missed.
- Trello Management: Manage tasks and projects in Trello, ensuring deadlines are met and progress is tracked.
- Team Coordination: Act as a liaison between the President, project managers, sales team, HR, and other stakeholders.
- Meeting Support: Attend meetings with the client, take detailed meeting minutes, and follow through on action items. Monitor progress and ensure accountability.
- Process Efficiency: Help the President streamline processes and improve organizational efficiency.
- Quote Follow-Up: Track and follow up on quotes sent to clients, ensuring timely responses and next steps.
- Strong Connectivity: Maintain reliable communication and connectivity to avoid disruptions in workflow.
Nice-to-Have Skills:
- Experience with Hubspot for CRM and lead management.
- Mac Computer or Iphone for Imessaging
- Familiarity with Acculink or similar construction management software.
Qualifications:
- Experience: 3+ years of experience as an Executive Assistant or in a similar role, preferably in the construction industry.
- Skills:
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- Proficiency in Trello or similar task management tools.
- Ability to coordinate with multiple teams and stakeholders.
- Detail-oriented with a focus on accuracy and follow-through.
- Attributes:
