As we continue to grow, we are looking for an experienced and detail-oriented Senior Payroll and Accounts Payable Specialist to join our dynamic finance team.
Role Overview
The Senior Payroll and Accounts Payable Specialist plays a crucial role in managing the accurate and timely processing of payroll for both hourly and salaried employees, alongside overseeing accounts payable functions. This role ensures compliance with all relevant regulations, maintains efficient financial systems, and provides exceptional service to employees and vendors regarding payroll and payment inquiries.
Key Responsibilities
- Payroll Processing: Process bi-weekly payroll for all employees, ensuring accurate wage calculations, deductions, and reported hours for both hourly and salaried staff.
- Compliance Management: Ensure adherence to federal, state, and local payroll regulations, including tax compliance and reporting requirements.
- Employee Record Management: Maintain and update payroll records, including new hires, terminations, salary adjustments, and benefits enrollments, in the payroll system.
- Collaboration with HR: Work closely with the HR team to ensure seamless integration of employee data and changes into payroll processing.
- Employee Support: Act as the main point of contact for employee inquiries regarding payroll, providing excellent customer service and timely, accurate responses.
- Tax Filings & Reporting: Prepare and submit payroll tax filings and reports, ensuring timely and accurate submission of all required documents.
- Audit & Data Integrity: Conduct regular audits of payroll data to identify discrepancies, ensure accuracy, and maintain data integrity.
- Year-End Processing: Assist with year-end payroll processing, including W-2 preparation and filing, ensuring compliance with all reporting requirements.
- Payroll Reconciliation: Collaborate with the finance team to reconcile payroll accounts and ensure accurate financial reporting.
- Accounts Payable Management: Oversee the processing of accounts payable transactions, including vendor invoices, expense reports, and payment disbursements.
- Vendor Communication: Maintain strong relationships with vendors, ensuring timely and accurate payment of invoices, resolving discrepancies as needed.
- Reconciliation: Reconcile accounts payable transactions with the general ledger to ensure accuracy and proper allocation of funds.
- Process Improvement: Continuously review and improve payroll and accounts payable procedures to enhance efficiency, accuracy, and compliance with industry standards.
Qualifications:
- Experience: Minimum of 5 years of experience in payroll processing, with at least 2 years in a senior or specialized payroll role. Experience in accounts payable is preferred.
- Technical Proficiency: Strong knowledge of payroll software (experience with ADP Payroll preferred), accounting software, and MS Office Suite, particularly Excel.
- Regulatory Knowledge: In-depth understanding of federal, state, and local payroll regulations, labor laws, and tax compliance.
- Attention to Detail: Exceptional attention to detail with the ability to manage complex payroll and accounts payable data and resolve discrepancies effectively.
- Communication Skills: Strong written and verbal communication skills, with the ability to provide clear and helpful support to employees and vendors.
- Confidentiality & Integrity: Ability to handle sensitive payroll and financial information with the utmost confidentiality and professionalism.
- Organization: Strong organizational skills and the ability to manage multiple tasks and priorities in a fast-paced environment.
- Education: Bachelor’s degree in Accounting, Finance, or a related field preferred. Certified Payroll Professional (CPP) designation is a plus.
