Summary:
The Document Control Manager will oversee engineering document management processes, ensuring accuracy, compliance, and accessibility across all projects. This role will be responsible for managing engineering job book preparation, supporting third-party audits, and maintaining document control standards. The position reports to the Director of Technical Services and is an in-office position.
Responsibilities:
- Manage the company document control systems for the engineering department, including user access, metadata structure, and folder setup
- Manage project job book preparation by third-party firms.
- Support third-party audits related to job books and project documentation.
- Oversee the organization, maintenance, and updates of engineering project records.
- Assist project managers and engineers with document management best practices.
- Manage document control processes for third-party engineering firms.
- Ensure proper version control and access management for engineering documents.
- Establish and enforce document control standards and procedures.
- Conduct training sessions on document control practices for internal and external teams.
- Conduct periodic audits of document control processes to maintain accuracy and compliance.
- Work with IT teams to optimize document management system integrations and automation.
- Develop and maintain reporting metrics to track document loading and compliance.
Requirements:
- Prefer 10 years of experience with 4 years required in Oil & Gas, Engineering, or Energy.
- Education: Bachelor’s degree or equivalent applicable experience.
- Experience:
- Midstream pipeline industry experience (preferred)
- Engineering documents and drawings (required)
- M-Files document management system (preferred)
- SharePoint document management (preferred)
- Regulatory compliance and audit support (preferred)
- Strong organizational skills and attention to detail.
- Ability to manage multiple projects and meet deadlines.
- Excellent communication and training skills.
