The Front Desk Associate is the first point of contact for Bartlett Wealth Management telephone calls, clients, and visitors. This role is responsible for answering telephones, directing calls, and greeting visitors. In addition, this individual assists with various clerical and administrative duties.
What you’ll be doing:
Receptionist duties:
- Answer and direct incoming telephone calls and take messages when necessary.
- Greet clients and other visitors, escorting them to assigned conference room and providing refreshments upon request. Notify appropriate employees of guest’s arrival. Follow up as appropriate if visitor(s) continue to wait too long.
- When appropriate, validate client/visitor parking.
- Greet delivery, mail, and messenger personnel, accept mail and deliveries, and notify appropriate employees of arrival.
- Maintain office environment – contact building management via service portal to handle heating and air conditioning issues, burned out light bulbs, and cleaning services when needed.
- Maintain conference rooms and the appearance of the lobby.
- Train new switchboard group members.
- Manage and maintain the switchboard coverage calendar/schedule.
Administrative duties:
- Bind presentations and sending out notifications to the recipients when completed.
- Provide administrative and clerical support to client service team, including assistance with bulk mailings – insert, stuff and label envelopes.
- Assist Controller and CCO with auditing. Retrieving documents from Laserfiche.
- Upload accounts payable documents into Laserfiche – invoices, vendor contracts, and sponsorship information.
- Back-up to Office Administrator – ordering and restocking supplies for the kitchen (paper products, snacks, soda, coffee, etc.), start and empty dishwasher, clean refrigerators, maintain a clean and organized kitchen.
- Provide Notary services when needed.
- Back up to Office Administrator for client gift purchases.
What you need:
- High school diploma or equivalent education. Some college preferred.
- Proficient computer skills, specifically working knowledge of Microsoft Word, Excel, Outlook and Zoom. Ability to learn new software.
- 3 Years of general office/administrative experience. Prior receptionist experience a plus.
- Notary Public or willingness to obtain.
- Excellent communication skills with the ability to communicate effectively with a wide range of people in a professional manner, using tact, courtesy, and good judgement.
- Excellent telephone etiquette.
- Proficient in English grammar, vocabulary, and punctuation – oral and written.
- Possess a pleasant and cooperative attitude with co-workers and visitors.
- Professional appearance and outgoing personality.
- Excellent organizational skills and ability to establish priorities.
- Excellent attention to detail.
- Ability to use standard office equipment and learn new office technology.
- Ability to work as a team player.
