Summary:
The Forms Management Coordinator will manage the intake of new requests to update forms and disclosures or create new forms broadly across the firm. The Forms Management Coordinator is responsible for overseeing the entire process of updating and managing organizational forms and disclosures. This role involves receiving form update requests, verifying the accuracy of form content, implementing updates, tracking progress, and archiving all related versions and timelines. The ideal candidate will ensure that all forms are current, accurate, and compliant with company standards.
Qualifications:
•Strong attention to detail and organizational skills; able to prioritize and handle multiple tasks
•Possess excellent verbal and written communication skills
•Proficient computer skills with regards to Microsoft Office, the Internet, Outlook and the back-office operations system. Skills in Microsoft Word and in creating PDFs through Adobe Acrobat is beneficial and will be a required skill for the position and can be trained.
•Able to communicate in a clear and service-oriented manner; use appropriate, professional language and grammar to effectively exchange ideas and information
•Must be capable of interacting with employees at all levels throughout the company
•Ability to document and archive guidelines, policies and procedures
•Ability to work both independently and collaboratively to achieve goals and resolve problems
•Must be able to prioritize tasks and meet deadlines, even in sometimes stressful situations
•Previous experience in a securities industry, front or back-office a plus
•General knowledge of the securities industry, financial markets and its products a plus
•Knowledge of JIRA and Confluence, a plus
•Highly detailed, committed to accuracy and follow-through
Duties:
•Coordinate with various departments to verify all form updates are valid and correct
•Communicate changes and updates with form owners to verify accuracy; communicate and collaborate with employees across the firm to provide timely updates
•Implement best practices for form/disclosure management and updates; maintain guides and best practice documentation
•Evaluate information provided by multiple sources regarding form changes and confirm standards are being maintained
•Maintain ticketing system by adding and updating tickets as necessary
•Complete updates to the forms using Word, Adobe, and other applications as needed
•Perform any other duties and special projects as necessary

The compensation offered will be determined on a case-by-case basis considering a variety of factors including, but not limited to, the skills, relevant work experience, and geographic location of each specific candidate.
