Position Overview:
The Executive Assistant is a strategic business partner and trusted advisor to the CEO with a core responsibility of creating and maintaining an environment that maximizes the efficiency of the CEO schedule to maximize time and focus on top priority areas, while mitigating conflicts and distraction.
This role serves as the “face” of the executive office and is the strategic gatekeeper to the flow of communications between the CEO and key stakeholders both inside and outside of the company.
This includes the management of a broad variety of advanced administrative tasks including ownership of a complex and unpredictable schedule that balances business and personal commitments; arranging rigorous travel plans and itineraries; composing C-Suite correspondence and compiling documents for executive level meetings; event management; and expense management.
Responsibilities:- Act as an adjunct member of the Executive Leadership Team, consisting of 10 direct reports to the CEO, demonstrating leadership to maintain credibility, trust, and support. Schedule all executive team meetings; identify actions items; communicate directly and effectively with the executive team members.
- Proactively organize and prioritize the flow of communication, documents, and activities between the CEO and key stakeholders. Anticipate needs and issues.
- Own and manage the CEO schedule (including both business and personal commitments) and ensure it is followed and respected. Work closely with the CEO to provide appropriate awareness of upcoming commitments and responsibilities to enable smooth transitions between activities.
- Coordinate travel plans and itineraries for the CEO, and at times for visitors to the CEO and family members. This includes travel arrangements, lodging and meal planning, as needed.
- Complete various administrative tasks, both inside and outside of the office, which maximize the CEO’s time and facilitates their ability to effectively lead the company. This includes activities such as running errands, coordinating deliveries, liaising with personal drivers / household staff, other ad hoc requests for support with personal matters as needed.
- Oversee and manage the recruitment and HR activities for personal resources to include agency liaison, candidate review (resume review and interviews), payroll onboard and offboarding, act as benefits liaison with JMA team and providers.
- Assist with the creation and management of CEO communications such as emails, letters, agendas, and meeting-related materials.
- Take a proactive and strategic approach to continuous improvement of standard procedures and ways to maximize the CEO’s time.
- Assist with event planning / expense management.
- Research, prioritize, and follow up on any ad hoc issues and concerns addressed to the CEO.
Required Skills & Experience:- Must have 4+ years of experience supporting a CEO.
- Associates degree required; Bachelor's degree preferred
- Exceptional organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Very strong interpersonal skills and the ability to build relationships with key internal and external stakeholders.
- Expert level written and verbal communication skills.
- Demonstrated proactive approach to problem-solving with strong decision-making capability.
- Calm under pressure; emotional maturity, professional demeanor. Demonstrated ability to be firm but friendly.
- Proven ability to transition between professional and personal matters with ease and with the utmost discretion of confidential information.
- Be adaptable to various competing demands and demonstrate the highest level of customer/client service and response.
- Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
- Highly resourceful team-player, with the ability to also be extremely effective independently.
- Tech proficiency of Microsoft Office (Outlook, Word, Excel, and Power Point). Confident navigating the web for research and information.

$65,000 - $90,000 a year
The US national annual base salary range for this is $65,000 - $90,000. The range includes base salary that is expected to be paid for this role. Actual base salary will be based on a variety of factors including, but not limited to, the scope and complexity of the role, the successful candidate's relevant experience, skills, and knowledge, peer and market data and geographic location
