We are a business to business support service for independent mental healthcare practitioners, which helps providers service a growing client base. We provide administrative and organizational services to simplify the processes of sourcing leads, marketing, billing and collecting payments from patients and insurers. We have grown to support over 1,700 mental healthcare providers since we opened in 2011.

About the Role
The IT Project Coordinator will work collaboratively with team members, vendors, and other departments in leading big-picture projects which contribute to the goals of the company. This role coordinates and executes complex IT projects which contribute to the growth and development of the business. Duties will include a variety of project administration, coordinating communications, leadership with project planning, training, and execution, and daily management of support tickets as applicable.
Responsibilities
- Manage and lead all IT related facets of launching new locations; vendor management & communication, asset procurement, and coordinating with key players to ensure smooth project execution.
- Oversee physical installation of various IT equipment, workstations, and assist with new location launches.
- Travel to office locations on an as-needed basis for on-site support and troubleshooting of equipment and be available for after-hours and weekend support as needed.
- Collaborate with the IT Project Manager to manage project budgets and assist with budget proposals as it relates to developing business workflows/tools/resources, and any other large, inter-department projects.
- Collaborate with vendors on cross-departmental projects, audit invoices for accuracy, and hold vendors accountable for quality of work and meeting deadlines.
- Support major projects within the Operations/IT departments by helping configure software and draft documentation, and work with departments on training, best practices, and communication.
- Ensure that projects are thoughtfully handed off to key stakeholders upon completion, with clear delineation of ongoing responsibility, and thorough documentation of SOPs.
- Continually review implemented projects and provide suggestions on improvements.
- Conduct post-project evaluations to identify areas of improvement and implement changes for future projects, including potential travel to revisit off-site locations after project completion.
- Stay up to date on new technologies relevant to the business, explore and propose potential use-cases to the IT Project Manager.
- Support with internal tickets regarding IT problems or software troubleshooting as needed.
- Develop, analyze, and report out project success metrics, ensuring that both short- and long-term project goals are met. Report findings to key stakeholders.
- Professional and concise verbal and written communication with the ability to adjust communication style to address various audiences appropriately (I.e. clients, staff, providers, vendors).
- Discreet, tactful, emotionally intelligent with highly collaborative interpersonal skills.
- Collaborative spirit and an ability to initiate group problem-solving across multiple stakeholders.
- Ability to adapt quickly to technology and work closely with stakeholders to develop new tools and workflows.
- Ability to work autonomously, with minimal supervision, manage your time responsibly and be accountable for meeting project deadlines.
- Basic knowledge of Microsoft administration (O365, Azure, SharePoint, etc.) required.
- Experience with Apple ecosystem (MacOS, iPadOS, etc.)
- Strong problem-solving and critical thinking skills with a proactive approach.
- Ability to be extremely flexible with shifting priorities and evolving needs of the business.
Qualifications
- Bachelor's degree and 3-4 years' related experience and/or training; or equivalent combination of education and experience.
- Minimum of 2-3 years of experience in project management or a related field.
- Demonstrated ability to adapt quickly to technology, and knowledge to troubleshoot alternative software tools as needed.
- Moderate lifting is occasionally required (up to 50 lbs.).
- Personal vehicle required due to travel between worksites or other locations.
Work Environment
Work will be performed mainly at Mindful Support Services’ Headquarters (Mountlake Terrace and Northgate), with work performed at office locations, and off-site venues for specific projects as needed. Travel via car or airplane to new locations is expected. The position also requires occasional after-hours work as needed to support with job requirements such as projects, equipment needs, and repairs.
