Executive Assistant / Human Resources Specialist

Job Title: Executive Assistant / Human Resources Specialist

Location: Bethesda MD

Employment Type: Full-Time

Reports To: Chief Executive Officer (CEO)


Executive Assistant Duties:

Serve as a trusted gatekeeper and liaison for the CEO, managing a complex and ever-changing international travel schedule.

Coordinate and manage calendar appointments, meetings, conference calls, and speaking engagements across multiple time zones.

Prepare briefing materials, agendas, and follow-up action items for executive meetings.

Handle confidential correspondence and communications on behalf of the CEO with professionalism and discretion.

Monitor and prioritize emails, inquiries, and requests, ensuring timely responses and resolution.

Coordinate logistics and arrangements for international and domestic travel, including visas, accommodations, and itineraries.

Assist with personal tasks and special projects as needed.


Human Resources Duties:

Support the onboarding and offboarding process, including documentation, orientation scheduling, and benefits enrollment.

Maintain and update HR records, employee files, and HRIS systems with confidentiality and accuracy.

Assist with recruitment efforts, including scheduling interviews, posting jobs, and coordinating with hiring managers.

Ensure compliance with HR policies and labor laws; assist in updating and communicating internal policies and procedures.

Serve as a point of contact for employee questions related to HR processes, benefits, and company policies.

Coordinate employee engagement initiatives, events, and internal communications.


Qualifications:

5+ years of experience in an Executive Assistant, HR, or hybrid role supporting C-level executives.

Proven experience coordinating international travel and managing multiple priorities under tight deadlines.

Strong knowledge of HR practices and employment laws; HR certification (e.g., SHRM-CP or PHR) is a plus.

Excellent written and verbal communication skills.

Highly proficient with Microsoft Office Suite, Google Workspace, and HR software platforms.

Exceptional organizational skills and a proactive, solution-oriented mindset.

Discreet and trustworthy with a high level of integrity and professionalism.
