POSITION DESCRIPTION:

The Office Manager provides general administrative support for the Regional Office and is responsible for overall office functions that include: clerical, bookkeeping, record-keeping, and reception. 


RESPONSIBILITIES:
  • Office Management
  • General Administration: Oversee office operations to ensure an efficient, professional environment that supports organizational goals. Process incoming and outgoing mail.
  • Supplies Management: Maintain inventory of office supplies and equipment, managing vendor relationships to ensure cost-effective purchases.
  • Record-Keeping: Organize and maintain physical and electronic files related to office operations, personnel records, and other essential documentation.
  • Reception & Communications: Serve as the first point of contact for visitors and inquiries, providing information about the organization’s mission and programs.
  • Event & Meeting Coordination: Arrange logistics for internal meetings and external events as needed.

Accounting Support:
  • Bookkeeping: Prepare and make bank deposits. Serve as the primary check request liaison for the Renton Regional Office. Maintaining accurate records in the accounting software.
  • Payroll Assistance: Support payroll processing, including data entry, record-keeping, and communication with staff regarding timesheets and related inquiries.
  • Financial/Data Reporting:Ensure required copies of all reports, revenue and expense information are provided to YWCA Finance Department.
  • Budget Tracking: Monitor budget expenditures for projects and grants, ensuring accurate tracking and alignment with grant requirements and organizational goals.

Communication:
  • Answer and direct phone calls, emails and other forms of communication.
  • Schedule meetings, appointments and conference calls.
  • Greet and assist visitors in a professional and courteous manner.

Race and Social Justice:
  • Commitment to social justice, including sensitivity to the needs of residents and staff from diverse cultural and economic backgrounds.
  • Participate and provide leadership in various ways for the agency’s Social Justice Initiative.
  • Support the YWCA’s Social Justice Initiative by understanding how racism, sexism, classism, and other oppressions play out in institutions and systems.
  • Use the lens of social justice to review policies and procedures.
  • Shows demonstrated ability to interact with people of different cultures.


Qualification & Core Competencies:
  • AA degree preferred or equivalent experience in accounting, bookkeeping and non-profit administration including contract management.
  • Strong computer skills, including proficiency in Microsoft Office. 
  • Ability to prioritize and manage multiple tasks.
  • Meet deadlines with minimal supervision.
  • Excellent customer service skills for interaction with YWCA staff, funders, government agencies and program participants.

Leadership and Team Management:
  • Foster a collaborative and results-driven culture, encouraging innovation and efficiency within the department.
  • Work across multiple departments, from Property Operations, Facilities, Finance/Administration, and Community Initiatives to address and solve problems.

  • Frequently moves locations both within the workspace and in the community.

$26.50 - $26.50 an hour

At the time of hire, employees may enroll voluntarily in the Fidelity 403b Plan. After two years of employment, employees are eligible to participate in the YWCA Retirement Fund
